Job Overview:

The Director of Program Operations is a senior team member responsible for ensuring efficient day-to-day operations and organizational processes, that programs run smoothly, and that community members and participants feel welcome and cared for at JCC Harlem. In close collaboration with the Director of JCC Harlem and program leads for Children + Family Life, Service + Action, Jewish Life, and Wellbeing, this role will create a cross-departmental effort toward systems of accountability across the areas of Maintenance, Programs, Hospitality, and Rentals. The Director of Program Operations will have excellent organizational and communication skills, a personable disposition and community-building orientation, and natural flexibility in handling day-to-day routines as well as surprises. JCC Harlem responds to the needs of the community as they evolve or arise, and this role is critical in ensuring a warm and efficient environment.

Serving as a central point of contact for staff across departments at JCC Harlem, the Director of Program Operations will streamline internal communication to support seamless, organized, and thoughtful opportunities for the community. This unique leadership position is also a forward-facing member of the team and will be one of many "faces" of JCC Harlem to our constituents.

This is an on-site, full-time position with a flexible schedule requiring some weekend and evening work.

Essential Duties and Responsibilities:

Program Operations:

-Convene cross-departmental team members from Program, Hospitality, Security, and Maintenance with regularity to ensure continuity of operations and increase the level of collaboration and understanding of roles

-Determine centralized communication and ensure proper staffing schedules for Security, Hospitality, and Maintenance

-Develop a strong and integrated hospitality function at JCC Harlem, supervising Hospitality Coordinators and training on best practices in hospitality to ensure that JCC Harlem is a warm and welcoming space

-Be present on the floor during certain program hours to serve as a warm welcome, get to know program participants, contribute to community-building, and solicit feedback from JCC Harlem community members to drive continued learning and organizational growth

-Supervise Security and Maintenance personnel

-Perform regular walk-throughs of JCC Harlem to make sure the building is clean and in working order

-Create an annual JCC Harlem program calendar and ensure that daily, weekly, and monthly program needs are met

-Ensure that the internal database (Personify) has correct program information inputted, creating systems of accountability in order to increase efficiency and accuracy

-Budget oversight of operations and hospitality

-Oversee and maintain building equipment for uninterrupted function; identify needs and acquire supplies; manage vendor relationships and coordinate food deliveries

-Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested

Rentals Management:

-Create rental strategy to drive revenue for JCC Harlem

-Create and manage the rental budget to meet annual revenue targets

-Manage rentals, including liaising with Rentersecure and supervise proper staff for rentals, and handling logistics

Skills Required:

-Bachelor's Degree or equivalent experience

-A minimum of 5 years experience with program operations

-Strong organizational, budgeting, and communication skills

-Engaging, thoughtful, creative and flexible

-Excellent troubleshooting and problem-solving skills

-Ability to connect with people and to exhibit finesse and sensitivity in written and verbal communications

-Excellent ability to delegate responsibilities while maintaining oversight of operations and customer service

-Strong time-management skills and excellent multi-tasking ability

Salary Range: Minimum $60K to a Maximum $70K
